Executive Coaching Privacy Policy

At GRITS, we take your growth seriously, including protecting your privacy. Our coaching spaces are built on truth-telling, trust, and transparency. This policy outlines how we handle your information so you can focus on doing the deep work without worrying about how your data is treated.

1. What We Collect

To support your coaching journey, we may collect:

  • Your name and contact information

  • Intake forms, assessments, and coaching goals

  • Session notes and reflections

  • Recordings from virtual sessions (see section 4)

  • Payment details and billing records

  • Any supplemental materials you choose to share

2. How We Use It

We use your information to:

  • Deliver coaching that’s responsive and personalized

  • Track progress and follow up effectively

  • Communicate with you regarding sessions and support

  • Process billing and keep clean administrative records

  • Continuously improve the GRITS coaching experience

3. Confidentiality Is Core to Our Work

What’s shared in coaching stays in coaching. We do not sell, rent, or share your personal or coaching details outside of GRITS unless:

  • You provide written consent

  • We’re legally required to disclose information (e.g., risk of harm, court order)

  • A secure, vetted service provider (e.g., booking or payment platform) needs it to support our operations

We do not use your coaching story for marketing without explicit permission.

4. Session Recordings & AI Assistants

We may record sessions using a secure virtual platform and AI assistant tool. These recordings are only used internally by your coach for:

  • Accurate note-taking

  • Personalized session follow-up

  • Tracking your progress over time

These recordings are not shared externally and are stored in secure systems. However, please note:

While we use trusted platforms and take privacy seriously, we cannot guarantee that the third-party providers used to store or process recordings will never experience a breach. By participating in coaching, you acknowledge this potential risk.

You have the right and must inform us if you wish to opt out of session recordings.

5. Data Security

We store and protect your information using secure systems. Access is limited to the GRITS coaching and internal team, and we take necessary steps to avoid unauthorized access, disclosure, or misuse.

6. Your Rights

You have the right to:

  • Request access to your data

  • Ask for updates or corrections

  • Withdraw consent or request deletion (where legally permitted)

  • Decline AI recording use at any time

7. Record Retention

We keep coaching records for up to 2 years after your engagement ends, unless you request otherwise or are required by law to do so.

8. Policy Updates

We may revise this policy as needed. Significant changes will be communicated clearly—no fine print surprises.
